Advanced Search and Basic Search

Advanced Search allows you to choose the fields in which to enter your search terms.

Basic Search looks for your terms in all available fields within the database.

There are two options for constructing an advanced search:

  • The Search Builder;
  • The Search Form.

 

THE SEARCH BUILDER

Advanced Search using the Search Builder:

NOTE: On the "Advanced and Basic Search" page, the Search Builder is the default search option. If the Search Form is displayed, you may click "or use search builder. . . »»" to switch to the Search Builder.

To construct a search clause:
Start with the search criteria row present on the Search Builder page.

  1. Select a field from the dropdown list.
  2. Choose "contains" or "doesn't contain."
  3. Enter search terms in the search criteria field.

You may continue adding rows in order to narrow your search results.

If you leave a row blank, the system won't perform the search, so please enter search criteria for all clauses, and/or be sure to remove any empty rows.

If you enter values in more than one of the search criteria fields, then the search results will show items that have matching attributes for all fields in which you have entered values.

      4. When you have created as many search clauses as needed, click "Search."

 

      Example:

  1. Select "Word(s) Anywhere" from the left-hand dropdown menu.
  2. Select "contains" from the dropdown menu to its right.
  3. Enter the word "oil" in the box to its right.
  4. Click "add a row."
  5. Select "AND" from the dropdown menu that appears between the first and second search rows.
  6. In the new row, select "Artist" from the left-hand dropdown menu.
  7. Select "contains" from the dropdown menu to its right.
  8. Enter the word "Peale" in the box to its right.
  9. Click "Search."

The system will return results in which "oil" appears anywhere in the item's metadata (i.e., in any field of the descriptive information about the item), and the word "Peale" appears in the Artist field only.

Refining your Search:

To perform a more refined search, select appropriate categories from the dropdown category list, and add them to the category window by clicking "Add." Don"t forget to click the "Add" button or the selected category will not be included in the search.

If you want to search the entire database, do not select a category.

If you add multiple categories, then by default the search will return items that are in one or more of the selected categories. This is specified by the dropdown: "Show items in any of the selected categories. If, however, you change the dropdown to all so that the dropdown text reads: "Show items in all of the selected categories," then the search will return only items that are in ALL of the selected categories.

Adding a parent category (i.e. a category that has subcategories) to the search criteria will cause the system to search for items that are in that parent category or any of its subcategories.

For example, suppose there were a category "Plants," with subcategories "Trees" and "Shrubs." If you chose the category "Plants" to refine your search criteria, the results would show items in the category "Plants," including "Trees" and "Shrubs." If, however, you added just "Shrubs" to your search criteria, then the search would return only items that are in the "Shrubs" subcategory.

Basic Search using the Search Builder:

  1. Select "Word(s) Anywhere" from the left-hand dropdown menu.
  2. Select "contains" from the dropdown menu to its right.
  3. Enter your search term(s) in the box to its right.
  4. Click "Search."

Basic or Advanced Search using Boolean operators and more:

The Search Builder accepts Boolean operators, as well as truncated and wildcard searches.  You will find tips and instructions here, or by switching to the Search Form and clicking the question mark icon next to the "Word(s) Anywhere" search box.


THE SEARCH FORM

Advanced Search using the Search Form:

Simply type your search terms into one or more of the available fields, and click Search.

Example:

  1. In the Title field, type "Lincoln."
  2. In the Artist field, type "Healy."
  3. Click "Search."

The system will return all results containing "Lincoln" in the Title field, and "Healy" in the Artist field.

Refining your Search:

As with the Search Builder, you can restrict your search by category. Please see the previous instructions under the header "The Search Builder,"  and then under the subhead "Refining your Search."

Basic Search using the Search Form:

Type your search words into the Word(s) Anywhere field and click "Search."

The system will return records for which your search terms appear anywhere in the item's metadata (i.e., in any field of the descriptive information about the item).

Basic or Advanced Search using Boolean operators and more:

Like the Search Builder, the Search Form accepts Boolean operators, as well as truncated and wildcard searches.  You will find tips and instructions here, or directly on the Search Form by clicking the question mark icon next to the "Word(s) Anywhere" search box.
